Announcing Version 1.0.0: The Future of Compliant and Secure Family Mediation

Aloe Mediation V1.0.0 is officially here. This milestone release introduces ECT Act-compliant e-signatures, automated POPIA data sunsetting, Gauteng JP report generation, secure B2B CRM tracking, and a moderated negotiation channel.

Today marks a major milestone for legal technology in South Africa. We are thrilled to officially launch Aloe Mediation Version 1.0.0—our largest, most comprehensive platform release to date.

Our goal has always been simple: to empower family and civil mediators to run highly efficient, legally sound, and compliant practices. With V1.0.0, we have rebuilt key workflows from the ground up, introducing powerful automation to handle POPIA compliance, electronic signatures, court reporting, and client negotiations.

Here is a detailed breakdown of everything new in Aloe Mediation V1.0.0.


1. Native E-Signatures (ECT Act-Compliant)

Traditional printing, signing, scanning, and emailing of agreements is slow, insecure, and outdated.

Aloe Mediation V1.0.0 introduces native, secure Electronic Signatures directly inside the Matter Workspace. Built in strict compliance with the South African Electronic Communications and Transactions (ECT) Act 25 of 2002, you can now digitally sign parenting plans, agreements to mediate, and settlement agreements inside a secure environment.

The Signature Audit Certificate

To provide absolute legal validity for referrers and the courts, every signed document is backed by a dynamic Signature Audit Certificate (PDF). This system-generated certificate details:

  • Signer Identity: Confirmed full names and verified email addresses.
  • Audit Trail: Secure IP logging, timestamps, browser user-agent data, and electronic consent records.
  • Cryptographic Verification: Unique document hash checks ensuring the file has not been altered after signature.

Mediators and parties can view the e-signing status of any file and download the official compliance certificates directly from the Vault (Documents) tab in the matter workspace.


2. Automated POPIA Data Sunset Purging

Under the Protection of Personal Information Act (POPIA), keeping personal and financial case records indefinitely is illegal—it is considered unlawful over-retention and hoarding of Special Personal Information.

To make your mediation practice legally bulletproof, Aloe Mediation V1.0.0 introduces an automated Data Sunset algorithm:

  • Civil/Commercial Matters: Case records are permanently and irreversibly purged exactly 5 years after conclusion.
  • Family / Minors Matters: Deletion dates are calculated based on the youngest child's birthdate (Youngest child DOB + 21 years—representing the 18-year majority age in South Africa plus a 3-year legal prescription buffer).
  • Divorces without Minor Children: If a family matter does not involve children, the birthdate field is left blank, and the system automatically falls back to the standard 5-year POPIA retention schedule.

14-Day Advance Notice

To ensure absolute transparency and give parties time to back up their personal records, the system sends automated warning emails to all participants and mediators 14 days prior to the permanent deletion date. Mediators also have the option to manually extend case retention in the workspace dashboard if prescription demands it.


3. Automated Gauteng JP Statistical Reports

Under Rule 41A of the Uniform Rules of Court and the Gauteng Division Mediation Protocol, mediators are required to submit statistical reports and anonymised feedback to the courts.

V1.0.0 automates this administrative burden:

  • Judge President's Statistical Report: The platform programmatically compiles session counts, total hours, mediator details, and outcome summaries into a compliant, professional PDF report. Mediators can preview, download, and attach this report directly in the conclusion dialog box.
  • Anonymised Client Feedback (Annexure JM2 & JM3): Upon case conclusion, clients are prompted in their Client Portal to complete the anonymised feedback survey (Annexure JM2 for Initiator/Party A, Annexure JM3 for Respondent/Party B). The system automatically compiles these responses into anonymised court-ready certificates and uploads them directly to the matter vault.

4. Moderated Asynchronous Negotiation Channel

Mediation doesn't only happen in scheduled sessions. V1.0.0 introduces the Negotiation Tab, a secure chat space that allows mediators to manage communication between sessions:

  • Moderation Controls: Mediators can toggle between Open Collaboration (where all parties can message) and Announcements Only (read-only to clients) to keep discussions constructive.
  • Session Proposal Widget: Mediators can propose joint sessions directly in the chat window. Clients can accept or decline dates inline, and if both agree, the system automatically schedules the session in the calendar.
  • Daily Chat Summaries: To prevent screen fatigue, the system aggregates unread chat updates and sends a unified summary email at 18:00 local time daily to clients and mediators.

5. B2B CRM & Referral Scorecard

To help mediators grow their business, V1.0.0 adds a professional CRM & Referral Matrix dashboard:

  • Referral Scorecard: Track active referring firms (e.g. law firms), contact details, total referrals received, case acceptance rates, and cumulative revenue generated.
  • Case Workspace Mapping: View and access all matters linked to specific referrers, making it easy to report back to legal partners.

6. Certified CPD Practice Hour Logs

For annual mediator accreditation renewals, keeping manual track of session hours can be tedious. Mediators can now visit their Accreditation page to view verification statuses and export a certified CPD Practice Hours Audit Log:

  • Custom Auditing: Select custom start and end dates to generate a validated PDF log of all sessions and hours.
  • Platform Verification Stamp: Every exported practice certificate is signed with a unique Secure Verification Key and verified by the Aloe Mediation Platform records, providing NABFAM, DiSAC, or SJA with tamper-proof authentication.
